Lumis

Privacy Policy

How we handle personal information across our website, services and Lumis AIOS Setup, including the context and data you use with the first two AIOS layers.

Last updated: 1 October 2026

1. Overview

This Privacy Policy explains how Lumis handles personal information connected with our website, enquiries, professional services and Lumis AIOS Setup. The plugin provides instructions and starter files for Context OS and Data OS, the first two layers of your AI operating system.

2. Information We Collect

We may collect contact details, company information, booking details, communications, website analytics data, and information you submit through forms, scheduling tools, or direct contact.

3. AIOS workspace and connected data

Context OS uses business information you provide to create context files in a workspace you choose. Data OS collects information from the sources you select into a local SQLite database and generates metrics files. The supplied plugin does not operate a Lumis-hosted business database or automatically send your local context files, credentials or collected business records to Lumis. You control your workspace and any access you grant.

4. AI platforms, APIs and credentials

The AI platform where you use the plugin processes your conversations and any files or workspace content you make available to it under its own privacy practices. Selected external APIs also process requests when you connect or refresh a source. A local database does not mean all processing stays on your device. Review each provider’s privacy settings and permissions. Keep credentials in the local files specified by the setup instructions, and do not share passwords, API keys or access tokens in chat or support messages.

5. How We Use Information

We use information to respond to enquiries, provide services, send requested materials, manage commercial relationships, improve the website, and operate business administration and compliance processes.

6. Plugin support and feedback

If you contact Lumis for support, we receive your email address and the information you choose to send, such as your operating system, AI tool, plugin version and error details. We use this information to respond, troubleshoot issues and improve the setup guidance. Remove personal and confidential information from logs or screenshots before sending them. Do not send credential files or your full business database.

7. Scheduling, Payments, and Third Parties

Where applicable, scheduling, analytics, payment, e-signature, email, hosting, and software infrastructure may be provided by third-party providers. Those services are subject to their own terms and privacy practices.

8. Confidential and Client Data

During consulting or implementation work, Lumis may receive access to confidential business information, operational data, and systems. That information is used only for engagement delivery and handled in accordance with applicable agreements and confidentiality obligations.

9. Data Retention

We retain information for as long as reasonably necessary to deliver services, comply with legal or tax obligations, resolve disputes, enforce agreements, and maintain business records. When information is no longer needed, we take reasonable steps to delete or de-identify it unless retention is required by law. Local workspace files, databases and backups remain under your control; removing the plugin does not itself delete them. Data held by your AI platform or connected providers is subject to their retention policies.

10. Security

We use reasonable administrative and technical safeguards appropriate to the nature of the information we handle. No system is completely secure, and transmission or storage of information always carries some risk.

11. Your Rights

Depending on your location, you may have rights to request access, correction, or deletion of your personal information, or to object to certain uses. Contact us to make a request. You may also contact us with a privacy concern or complaint. Requests to Lumis cover information we hold; contact your AI platform or connected provider for information it holds independently.

12. International Use

Because we may work with international clients and third-party providers, information may be processed in jurisdictions outside your location.

13. Changes

We may update this Privacy Policy from time to time. The latest version posted on the website applies from the stated update date.
